2. Process Flow Management & Strategy
Develop, implement, and refine workflows to ensure operational efficiency.
Analyze current processes and identify bottlenecks, redundancies, and inefficiencies to improve workflow.
Implement cross-functional collaboration strategies to break silos and ensure seamless coordination.
Standardize procedures for shipment tracking, documentation, and delivery coordination.
3. Team Supervision, Conflict Resolution & Coordination
Oversee and guide the work of Declarants, Delivery Coordinators, and Import Staff.
Monitor workload distribution to prevent bottlenecks or inefficiencies.
Facilitate conflict resolution among team members to maintain a positive work environment.
Assist in problem-solving and decision-making when challenges arise in import and customs processes.
Ensure deadlines are met by proactively monitoring the team's tasks.
Monitoring Deadlines & Performance Tracking
Set up a real-time tracking system for shipment processing to monitor deadlines and progress.
Conduct weekly performance evaluations to track efficiency, accuracy, and adherence to schedules.
Implement KPIs (Key Performance Indicators) to assess team performance.
Provide support and corrective measures for delayed shipments or operational disruptions.
Synchronization Between Roles & Escalation Process
Ensure that Import Staff, Declarants, and Delivery Coordinators work in a synchronized manner.
Conduct daily check-ins to discuss shipment status and identify pending concerns. • Establish a clear escalation path for shipment delays, missing documentation, or customs issues.
Ensure smooth handoffs between roles to prevent disruptions.
Reporting to Upper Management
Provide reports on shipment status, team performance, and operational challenges.
Present strategic recommendations to improve efficiency, cost-effectiveness, and workflow automation.
Highlight critical risks and mitigation plans related to shipment delays, documentation issues, or customs compliance.
Emergency Role Coverage & Cross-Training
The Import Supervisor must be well-versed in all roles within the team.
Step in and take over roles as needed when a team member is absent or in an emergency.
Cross-train employees to reduce dependency on specific individuals.
Stay updated on key processes, software usage, and compliance requirements.
Requirements
4 years Graduate in BS Customs Administration
License Customs Broker
Minimum 3 yrs experience in Brokerage; with background in Customer Service & at least 2yrs supervisory experience.
