We are seeking a dynamic and highly motivated Business Analyst / Executive Assistant to support our organization's growth and success. This hybrid role combines key business analysis functions with executive-level support, requiring a balance of analytical expertise, process improvement skills, and strong communication abilities. The successful candidate will play a pivotal role in gathering requirements, improving business processes, and ensuring the smooth execution of projects, while also assisting senior leadership with administrative tasks.


Key Responsibilities:

1. Requirements Gathering & Analysis

  • Collaborate with stakeholders across business functions to gather, analyze, and document business requirements and objectives.
  • Translate business needs into clear, actionable requirements, ensuring alignment with organizational goals.

2. Process Improvement

  • Conduct in-depth analysis of existing business processes and workflows.
  • Identify inefficiencies and recommend effective process improvements to streamline operations and enhance productivity.

3. Documentation

  • Develop detailed, clear, and accurate functional specifications, use cases, and other business documentation to guide solution development and implementation.
  • Maintain comprehensive records of project requirements and deliverables.

4. Facilitate Meetings

  • Organize and facilitate meetings and collaborative sessions with stakeholders to gather business requirements, clarify objectives, and ensure alignment across departments.
  • Document meeting outcomes and ensure action items are tracked and followed through.

5. Visual Documentation

  • Create process maps, flowcharts, and other visual aids to communicate analysis, recommendations, and process improvements effectively.
  • Ensure documentation is clear, concise, and accessible to all relevant stakeholders.

6. Testing & Validation

  • Collaborate with teams to support testing and validation activities, ensuring solutions meet business requirements and quality standards.
  • Assist in troubleshooting and resolving issues identified during testing.

7. Monitor Project Progress

  • Track the progress of ongoing business projects, providing regular updates and reports to stakeholders.
  • Identify potential risks or delays, suggest adjustments, and ensure project milestones are met on time.

8. Industry Insight

  • Stay informed about the latest industry trends, emerging technologies, and best practices in business analysis, process improvement, and executive support.
  • Share insights and provide recommendations to enhance business efficiency and competitiveness.

9. Calendar and Schedule Management

  • Manage and maintain executives' calendars, ensuring efficient time management and prioritization of meetings and appointments.
  • Coordinate and schedule internal and external meetings, events, and travel arrangements.

10. Communication Liaison

  • Serve as the primary point of contact for internal and external stakeholders, managing communications and responding on behalf of the executive team.
  • Screen calls, emails, and requests, ensuring urgent matters are addressed promptly and appropriately.

11. Confidentiality and Discretion

  • Handle sensitive information with the utmost confidentiality and professionalism.
  • Support executives with personal tasks and errands as needed.


Qualifications:
  • Education:
  • Bachelor’s degree in Business Administration, Management, Information Systems, Computer Science, or a related field.
  • Experience:
  • 2+ years of experience as a Business Analyst, Executive Assistant, or similar hybrid role.
  • Proven experience in gathering requirements, improving business processes, and understanding the technical aspects of software solutions.
  • Experience supporting senior leadership and understanding their technical needs is highly desirable.
  • Technical Skills & Competencies:
  • Familiarity with programming languages (e.g., Python, Java, JavaScript, SQL) and the software development lifecycle (SDLC).
  • Understanding of software development methodologies (e.g., Agile, Scrum, Waterfall, DevOps) and their application in business analysis.
  • Ability to translate business requirements into technical specifications for development teams.
  • Experience using tools like JIRA, Trello, or Confluence for project tracking and documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and process mapping tools (e.g., Visio, Lucid chart).
  • Other Skills:
  • Strong communication skills to liaise between business stakeholders and development teams.
  • Detail-oriented with excellent problem-solving abilities.
  • Ability to prioritize and manage multiple projects simultaneously.
  • Ability to adapt to changing business and technical requirements.
