Position Overview

The Chief of Staff (CoS of IT Department) serves as the right hand to the Senior Director of IT, acting as an operational partner and force multiplier. This person will manage communication flow, track department-wide initiatives, and ensure commitments are followed through. The CoS blends strategic coordination, administrative excellence, and analytical support to help the IT organization run smoothly and predictably.

Key Responsibilities

• Act as liaison between the Senior Director and Manila-based leads (PMs, developers, analysts)
• Drive clarity across departmental goals, OKRs, and executive deliverables
• Manage communication, meeting prep, and follow-ups for leadership syncs and partner updates
• Maintain tracking systems for departmental projects, key decisions, and operational risks
• Support budgeting, hiring plans, and vendor coordination with Finance and HR
• Review project reports, summarize key findings, and ensure actions are completed
• Maintain and enforce documentation standards across IT systems, policies, and governance initiatives
• Handle sensitive information with discretion and maintain confidentiality at all times

Qualifications

• 5–8 years of experience in business operations, project management, or executive support
• Excellent English communication (spoken and written), including concise executive summaries
• High attention to detail and strong organizational discipline
• Proficiency in Microsoft 365 (Excel, PowerPoint, Teams, SharePoint); familiarity with technical tools (ADO, Power BI preferred)
• Ability to anticipate needs, follow up without prompting, and manage multiple priorities
• Strong analytical mindset and ability to synthesize data into actionable insights
• Experience supporting cross-functional or global leadership is a plus
