Job Summary

The Shipping Line Coordinator is responsible for managing and coordinating all shipping line–related activities to ensure timely vessel handling, accurate documentation, and smooth cargo release within the customs brokerage operation. This role involves close coordination with shipping lines, monitoring vessel schedules and free times, managing shipping line charges and billings, and supporting customs clearance teams to ensure efficient delivery order issuance and cargo movement. The Shipping Line Coordinator plays a key role in maintaining operational readiness, compliance, and accurate shipment records.


Key Responsibilities:

  • Coordinate directly with shipping lines and their agents regarding vessel schedules, arrivals, rollovers, and cargo availability.
  • Obtain, verify, and process shipping line documents including Bills of Lading, Delivery Orders, Arrival Notices, and Manifests.
  • Monitor vessel arrivals, discharge dates, manifest status, demurrage free time, and detention free time.
  • Arrange and follow up on shipping line payments, deposits, demurrage, detention, and container releases.
  • Ensure all shipping line billings are followed up and settled prior to vessel arrival to enable timely issuance of Delivery Orders.
  • Verify the accuracy of all shipping line billings before proceeding with payment or settlement.
  • Ensure timely receipt of Delivery Orders, including stripping requests, from shipping lines.
  • Coordinate container release, return, and empty container arrangements.
  • Resolve issues related to shipping line holds, amendments, shortages, damages, and documentation discrepancies.
  • Maintain accurate shipment, vessel, and operational records in brokerage monitoring systems.
  • Support customs entry teams by providing accurate and timely shipping line data.
  • Maintain Operational Readiness (OR) monitoring to ensure all Bills of Lading have corresponding Shipping Line ORs.
  • Maintain detailed records of shipping line charges by container type.
  • Provide regular updates to internal teams regarding shipment status and operational issues.
  • Perform other duties as assigned from time to time.
