Procurement Coordination:

  • Assist in the execution of coal purchase orders and ensure compliance with contractual terms.
  • Liaise with coal suppliers and consultants to confirm specifications, pricing, and delivery schedules.
  • Ensure documentation is complete and accurate for customs and regulatory compliance.


Shipping & Logistics:

  • Coordinate with operations team, coal suppliers, ship brokers and vessel owners for chartering and scheduling of shipments.
  • Monitor vessel movements and ensure timely loading and unloading of cargo.
  • Liaise with customs broker to ensure smooth importation processing
  • Review laytime calculations and ensure that this are in line with contract terms and conditions.


Coordination:

  • Work closely with the fuel management team at the site to align delivery schedules with operational requirements.
  • Provide updates on shipment status and resolve any discrepancies related to coal quality or quantity.
  • Liaise with other departments as necessary.


Financial Transactions:

  • Coordinate with banks for Letters of Credit (LC) opening, amendments, and settlement.
  • Coordinate with finance team to ensure timely settlement of LC and other invoices
  • Ensure accurate documentation and timely payment processing.


Compliance & Documentation:

  • Ensure all transactions comply with company policies and international trade regulations.
  • Maintain accurate records of contracts, shipping documents, and financial transactions.


Others:

  • Any other duties and tasks that may be assigned by management.
  • Assist with handling minor insurance policies
  • Assist the commercial department with contracts management, administration, and implementation.


Qualifications

  • Bachelor’s degree in business administration, Finance, Accounting, Economics, or a related field.
  • Knowledge of financial transactions, billing processes, and compliance requirements.
  • Familiarity with bank trade transactions, importation, shipping logistics, customs clearance and other customs regulations is a plus.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and financial software.
  • Strong analytical and problem-solving skills.
  • Excellent communication and coordination abilities and organization skills.
  • Detail-oriented with strong organizational and multitasking skills.
  • Ability to work independently and collaborate with various stakeholders.
  • Handle documentation, reporting, and administrative tasks.
  • Ability to adapt to a fast-paced and regulatory-driven environment.
