Job Description

The Project Coordinator plays a vital role in supporting the successful planning, execution, and monitoring of telecom construction projects. This position is responsible for preparing and maintaining project documentation, coordinating schedules, and ensuring effective communication among internal teams and external stakeholders. The Project Coordinator also assists in identifying project risks, facilitating client meetings, and tracking progress against key milestones. By providing organizational and logistical support to the Project Supervisor, the Project Coordinator helps ensure that project goals are met on time, within budget, and in accordance with established quality and compliance standards.


Duties and Responsibilities:

1. Prepare Reports and Project Documentation

  • Generate accurate and timely reports on project progress, milestones, and performance metrics.
  • Maintain comprehensive project documentation, including schedules, work plans, and change logs.
  • Track progress against critical project timelines and flag potential delays or deviations for corrective action.

2. Risk and Issue Assessment

  • Identify potential project risks, bottlenecks, and challenges across various stages of execution.
  • Recommend practical solutions to mitigate risks and escalate critical issues to the Project Supervisor or Manager when necessary.
  • Assist in the development of contingency plans to ensure project continuity.

3. Client Meeting Support and Reporting

  • Attend client meetings and site visits to support the Project Supervisor with coordination and documentation.
  • Assist in the preparation of detailed weekly and monthly reports, including site updates, accomplishments, next steps, and concerns.
  • Document and circulate minutes of meetings and follow up on agreed actions.

4. Team and Schedule Coordination

  • Coordinate with internal team members (engineering, field staff, admin) and external stakeholders (vendors, subcontractors, clients) to align tasks and timelines.
  • Manage team calendars, task assignments, and resource availability to support efficient scheduling.
  • Facilitate smooth communication between all parties to ensure alignment on project deliverables.

5. Project Monitoring and Organizational Support

  • Support the Project Supervisor in organizing ongoing telecom construction projects, ensuring that all elements—from resource allocation to budget tracking—are aligned with project goals.
  • Monitor project plans, work schedules, and timelines to ensure deadlines are met.
  • Track project expenses and help ensure activities remain within budget.
  • Collate documents for billing and prepare invoices for clients based on accomplishments and/or services rendered.
