Position Overview: As an Offshore Support Team Member, you will play a crucial role in the smooth functioning of the Novari Collective by managing essential administrative, financial, and reporting tasks that enable the sales and operations teams to focus on their primary objectives. The ideal candidate will be highly organized, detail-oriented, and capable of juggling multiple responsibilities while maintaining effective communication across teams.  

 

Position Purpose: The Offshore Support Team Member will play a key role in supporting the sales and operational teams through a range of administrative, financial, and reporting tasks. This role is vital in ensuring seamless business operations, assisting with day-to-day processes, and ensuring efficient execution of tasks. The position requires the ability to adapt to shifting priorities and evolving business needs. 

 

Responsibilities: 

 

Financial Administration & Transaction Management: 

  • Review daily bank reconciliations and allocate payments to respective jobs. 
  • Process payments from platforms such as Stripe and reconcile transactions. 
  • Monitor and manage pay-later applications. 
  • Track outstanding invoices and facilitate late fee payments. 
  • Prepare and submit weekly reports related to budgets (sales reports) and debts (accounts receivable). 
  • Communicate with clients regarding extension requests and outstanding payments. 

Data Entry & Workflow Management: 

  • Maintain and update client, project, and supplier data in company systems. 
  • Track contract end dates, and send reminders for contract extensions or collections. 
  • Create and maintain Winrent accounts for clients’ properties, ensuring data accuracy. 
  • Store and manage emails and relevant documents within the job management software. 
  • Update and track client incentive initiatives. 

Operational & Administrative Support: 

  • Assist the sales and operations teams with administrative tasks and reporting as needed. 
  • Provide internal and external communication support, ensuring timely and accurate responses. 
  • Organize and manage digital records for efficient access and retrieval. 

 

Reporting & Scope: This position reports to the Operations Manager (Novari Victoria) and provides support across the Novari Collective Victorian business. As part of the offshore support team, your role will be influenced by changing business requirements and priorities.

  • Monday - Friday, 6:00AM-3:00PM

Requirements

Skills Required: 

  • Accounting Knowledge: Basic understanding of accounting, experience using Xero is an advantage. 
  • Technical Proficiency: Advanced Excel and MS Office skills, including familiarity with cloud-based tools. 
  • Communication: Clear and effective written communication, with strong attention to detail. 
  • Time Management: Strong multitasking abilities and excellent time management skills. 
  • Data Entry & Management: High proficiency in data entry and managing information within various systems. 
  • Proactivity: Ability to take initiative and manage responsibilities without constant supervision. 
  • Adaptability: Comfortable working in a fast-paced, changing environment, and prioritizing tasks accordingly.
