About the Role:


The Facilities and Admin Manager is responsible for overseeing the day-to-day operations of office facilities, ensuring they are safe, efficient, and compliant with local regulations. The role also involves managing administrative functions, vendor relations, security, housekeeping, and maintenance, as well as supporting the needs of various departments.


Responsibilities:

Facilities Management:

  • Ensure the proper maintenance and operation of all company facilities.
  • Oversee preventive maintenance and repair of office equipment and building utilities.
  • Coordinate with contractors and service providers (e.g., security, housekeeping, HVAC, pest control).
  • Monitor compliance with PEZA, DOLE, DENR, BFP, and other government regulations.
  • Manage office expansions, relocations, or renovations as needed.


Administrative Management:

  • Supervise the admin team, including reception, office support staff, and utility workers.
  • Oversee procurement of office supplies, equipment, and other resources.
  • Ensure the safekeeping of office documents and administrative records.
  • Implement and manage office policies and procedures.


Health, Safety, and Environment (HSE):

  • Act as or coordinate with the company’s Safety Officer and Pollution Control Officer if required.
  • Lead office safety drills and ensure compliance with OSH standards.
  • Maintain workplace cleanliness and safety standards.


Budgeting and Vendor Management:

  • Monitor and manage the facilities and administrative budget.
  • Review and negotiate contracts with vendors and service providers.
  • Evaluate vendor performance and recommend improvements.



Qualifications:

  • Bachelor’s degree in Engineering, Business Administration, or related field.
  • At least 15 years of experience in facilities and administrative management.
  • Knowledge of local building codes and compliance requirements.
  • Excellent leadership, communication, and organizational skills.
  • Certifications in Safety (e.g., SO2) or as a Pollution Control Officer are preferred.
