The Event Supervisor is responsible for executing client-approved events and campaigns. This role ensures all logistical, production, and supplier coordination is properly managed from planning to post-event wrap-up. It requires close collaboration with internal teams, external vendors, and the Account Manager.


1. Project Execution & Timeline Management

  • Lead day-to-day execution of events and campaigns
  • Supervise event setup, rehearsals, and live execution and ensure quality control and problemsolve issues on-site
  • Execute client-approved events and campaigns based on timelines and deliverables set by the Account Manager.
  • Maintain detailed task trackers and ensure internal deadlines are met across departments (design, production, logistics, etc.)


2. Supplier Sourcing & Coordination

  • Identify, evaluate, and coordinate with suppliers, venues, production teams, and third-party vendors.
  • Secure and review quotations, negotiate rates, and manage supplier contracts with support from Account Managers.
  • Ensure supplier deliverables meet expected standards


3. Budget Support & Cost Monitoring

  • Assist Account Manager in preparing event budgets and cost breakdowns.
  • Track supplier payments, monitor actual spending, and ensure alignment with approved budgets.
  • Maintain clear documentation (timelines, supplier lists, team assignments)


4. On-Site Supervision & Quality Control

  • Lead the on-site execution team during ingress, event day, and egress.
  • Ensure event setup matches approved plans, branding is correctly applied, and technical elements are in place.
  • Troubleshoot any operational issues in real time and escalate concerns when needed.


5. Team Direction & Coordination

  • Brief support staff and freelancers on their roles and responsibilities before and during events.
  • Monitor task execution and make sure manpower is allocated effectively throughout the project.


6. Logistics & Operations

  • Prepare logistics checklists, production schedules, and delivery timelines.
  • Coordinate transport, storage, and equipment needs before and after the event.


7. Post-Event Wrap-Up

  • Assist in preparing documentation such as post-event reports, expense summaries, and evaluation feedback.
  • Coordinate return of borrowed/rented materials and ensure proper liquidation of receipts and expenses.
