About the Role

Join a U.S.-based real estate operations team as a Condo Document Retrieval Process Associate.

In this role, you’ll help ensure all condominium-related documents are properly gathered, reviewed, and submitted as part of the U.S. loan and property approval process.

You’ll communicate directly with U.S. vendors, HOA (Homeowners Association) management companies, and internal branches to collect important documents, verify information, and assist condo specialists in processing approvals.


Key Responsibilities:

  • Ability to identify various documents related to the Condo Approval Process
  • Knowledge of documents related to the Condo Approval Process would be a plus
  • Check file to see if we have a way to retrieve docs from title, HOA direct (to keep cost down)
  • Review prelim for hyperlinks to get as many docs as possible
  • Determine HOA management, reach out to get direction on how to order condo documents
  • Access to a credit card to order docs from websites like: homewise, community archives etc.
  • May need to order checks to be overnighted to HOA management
  • Once documents have been received to us, review them for accuracy and submit to condo specialist
  • Work on conditions from the condo reviewer; reach out to insurance agents, HOA management, websites for 3 party docs to get the conditions we need
  • Preferably knowledgeable in understanding condo legal docs and master insurance policies


Qualifications

  • Excellent English communication skills (written and verbal).
  • Prior experience in real estatemortgage operationstitle processing, or document verification is an advantage.
  • Strong attention to detail and ability to review legal or insurance documents.
  • Willing to work on-site during U.S. daytime hours (Philippine night shift).
  • Comfortable speaking with U.S. vendors and clients — voice training will be provided.
  • Familiarity with HOA or condo-related documentation is a plus.
  • Basic proficiency with Microsoft Office or Google Workspace.
