About the Role

We are seeking a highly organized, proactive, and detail-oriented Service Support Coordinator to manage the end-to-end administrative and operational processes that support our field service team. This role ensures seamless scheduling, communication, materials management, and documentation across multiple departments.

The ideal candidate excels in a fast-paced environment, communicates clearly, and takes ownership of both service operations and supply chain tasks. This is a remote position with strong opportunities for growth in operations.


Job Details 

  • Work Setup: Work From Home 
  • Schedule: Monday to Friday | 8 PM to 5 AM Philippine Time 
  • Holidays: Philippine holidays 


Key Responsibilities

Service Operations & Scheduling

  • Schedule all service visits based on customer needs, technician availability, and job priority.
  • Respond to client inquiries related to service requests, scheduling, and job status.
  • Coordinate with field service technicians to obtain job updates and create new service visits as needed.
  • Maintain accurate service records and job status in internal systems.

Materials Coordination

  • Manage and track materials, products, and equipment required for service jobs.
  • Coordinate logistics for shipments, deliveries, and transfers of materials to technicians or job sites.
  • Order materials and products to support active projects and service visits.
  • Ensure materials are available on schedule to prevent delays in service activities.

Accounting & Documentation Support

  • Create Goods Receipt Notes (GRNs) using Zoho Accounting software.
  • Coordinate customer deliveries and ensure all relevant documentation is completed.
  • Work closely with the accounting team to maintain accurate and up-to-date records of inventory, purchases, and receipts.
  • Assist in reconciling purchase orders, invoices, and delivery confirmations.

Cross-Functional Communication

  • •Liaise with field service staff, warehouse/logistics personnel, suppliers, and internal departments.
  • Communicate scheduling changes, delivery updates, and job requirements clearly and promptly.
  • Support the operations team with reporting, analysis, and continuous improvement initiatives.


Qualifications

  • 2+ years of experience in service coordination, operations support, or a related field.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Experience with scheduling, inventory, or accounting software (Zoho experience is a strong plus).
  • Ability to work independently in a remote environment while meeting deadlines.
  • Familiarity with procurement.
  • High attention to detail and a problem-solving mindset.
