Job Description

JOB DESCRIPTION

  1. In a residential or office building, you shall work at a desk or station near the front of the building, inside the property management office, or in the area of the department you will be assigned to
  2. The main role is keeping the front office and administrative office running and providing administrative support to your assigned department
  3. Responsible for clerical and organizational tasks like file organizing, scheduling appointments, assisting clients’ employees and guests, and drafting and sending correspondences or messages for the client as needed


MINIMUM QUALIFICATIONS

  1. Must be a four-year college graduate
  2. Basic computer knowledge, appropriate software proficiency, and good typing ability
  3. Must possess multi-task handling ability and knowledge of administrative procedures and clerical actions
  4. Should be skillful in Microsoft Office package, telephone communication, listening to and understanding instructions and execution of assigned tasks
  5. Excellent written and verbal communication
  6. Pleasing personality and respectful to all co-workers
  7. Honest, trustworthy, and hardworking


DUTIES AND RESPONSIBILITIES

  1. Provide prompt, professional, and courteous service to co-workers, clients’ employees and guests, in a personalized and refined manner
  2. Strictly adhere to the rules and regulations of the client and the company at all times
  3. Maintain high confidentiality in handling administrative information, documents, accounts, monetary knowledge, and other information related to the client and the company
  4. Perform specific tasks assigned by the client such as (EDIT TASKS BASED ON CLIENT’S NEEDS):
  • Preparation and organization of physical documents
  • Routing documents to signatories for approval
  • Sending emails to counterparties for information and updates
  • Scanning and filing documents
  • Handling document deliveries to Davao
  • Depositing checks
  1. Answer all incoming calls immediately and attend to all queries effectively, adhering to standard communications etiquette
  2. Attend to and answer all emails promptly and effectively, observing proper mail correspondence standards at all times
  3. Organize and maintain files, records, documents, and computer or online files
  4. Organize, schedule, and coordinate meetings and appointments as necessary
  5. Perform all administrative duties and responsibilities and other jobs that may be assigned from time to time, but limited to tasks related to the scope of work only
