Job Description

Overview

We are seeking a highly technical and execution-focused AI Automation Specialist to design and implement an end-to-end document processing workflow. This role will be responsible for building an intelligent system that ingests documents from email, classifies them, extracts key data, validates completeness, and organizes outputs into structured databases and storage systems.


This position is ideal for someone who combines automation, AI, and system integration expertise with strong attention to detail and reliability.


Key Responsibilities


Workflow Development & Automation

  • Build an automated pipeline that:
  • Detects and downloads email attachments
  • Classifies document types using AI
  • Extracts key data using OCR + AI models
  • Validates document completeness and accuracy
  • Stores files in an organized system
  • Updates candidate status (Complete / Incomplete / Needs Review)


AI & Data Processing

  • Implement and optimize:
  • Document classification models
  • Data extraction logic from structured and unstructured files
  • Ensure high accuracy in parsing critical fields (credentials, IDs, forms, etc.)


System Integration

  • Integrate multiple platforms into a seamless workflow:
  • Email systems (Gmail / Outlook)
  • OCR engines (Google Document AI, AWS Textract, or similar)
  • AI APIs (OpenAI or equivalent)
  • Automation tools (n8n, Make, Zapier)
  • Storage systems (Google Drive, Dropbox)
  • Databases (Airtable, PostgreSQL, Supabase)


Data Management & Validation

  • Design a structured database for credential tracking
  • Implement validation rules to ensure:
  • Missing documents are flagged
  • Incorrect or incomplete data is identified
  • Maintain clean, reliable, and auditable records


Dashboard & Reporting

  • Build a basic dashboard or reporting layer to track:
  • Document status
  • Candidate progress
  • System performance


Documentation & Handover

  • Create clear documentation covering:
  • System architecture
  • Workflow logic
  • Maintenance procedures
  • Ensure the system is scalable and easy to manage


Technical Requirements

Core Skills

  • Strong experience in automation workflows and system integrations
  • Hands-on experience with OCR tools (Google Document AI, AWS Textract, etc.)
  • Experience using AI APIs for data extraction and classification
  • Proficiency in at least one automation platform (n8n, Zapier, Make)


Preferred Experience

  • Database design and management (Airtable, PostgreSQL, Supabase)
  • API integrations (RESTful services, webhooks)
  • File storage systems (Google Drive, Dropbox)
  • Building lightweight dashboards (Retool, Metabase, or similar)


Nice to Have

  • Experience in HR, credentialing, or document-heavy workflows
  • Familiarity with data validation frameworks
  • Basic scripting (Python / JavaScript)
